When was the last time you wrote a letter of appreciation? A well written letter of appreciation can be a very effective way to promote your organisation while at the same time acknowledging the contribution of the people or business you are writing it to.
A good example of this may be when another organisation has provided support that may be, for example, a donation, supplied goods services at a reduced rate or maybe volunteered at a fundraising event.
By writing a letter of appreciation you are highlighting the importance and the value of their contribution to your organisation while at the same time promoting your organisation.
To gain the most from your letter of appreciation it should highlight the name of the organisation by using a different font or color. It should also show how they contributed to your organisation.
Importantly, it should tell the story as to what their contribution really did for your organisation.
Instead of just making a general comment thanking them for their support, include information about how, for example, their donation will be used to purchase a new equipment for school children or how their assistance at the event added to the success of the event and the amount that was raised.
Also, when you send it to the organisation don’t just mail it but try to personally deliver it and present it in a frame so it can easily be displayed. Ask that they hang it in the main entrance of their organisation so the public can easily see and read the letter.
Furthermore, consider contacting the local newspaper and let them know as they are often looking for good community based stories.
By having a photograph taken with a short article in the newspaper you are also giving yourself another opportunity to promote your organisation.
The main point with the use of a letter of appreciation is that it is very simple to prepare yet can be an effective way to not just show your appreciation of the organisation who provided the support but a low cost method to promote your organisation.
