The previous post discussed the value of developing a volunteer program and the benefits that can be derived.  Once you have recruited volunteers you need to manage them properly.

Here is a summary of some important tips associated with managing volunteers.

  • Make them feel welcome and part of the team.  Show them the respect and treat them fairly and equitably.
  • Ensure they have a proper place to work from and access to the appropriate equipment.
  • When they first start provide them with an overview of the organisation, relevant policies, safety issues or any other procedures that may also form part of an orientation or induction program.
  • Identify whether any training is required and ensure that is undertaken as needed.
  • Prior to the volunteer coming in be clear about what they will be doing and discuss it with them.
  • Volunteers should not be able to turn up and go when they feel like it so be clear about the hours of their availability.  This should have been discussed as part of the recruitment process.
  • Make sure that they are properly supervised and that the volunteer knows who to seek advice from.
  • Ensure that the staff member who is managing the volunteers has the time to do it and is also supported by the organisation.  In a busy office having volunteers constantly coming up to you asking for more work can be a distraction and also very disruptive.
  • Each volunteer should receive feedback in relation to their performance.  If a volunteer comes in on a regular basis you should also undertake a performance review to provide formal feedback and set out objectives for the future. 

These points also highlight how managing volunteers is similar to managing staff and as such you need to have the proper process and procedures in place.  As you have invested in developing a volunteer program then ensure the organisation supports it and as previously highlighted, if done well the benefits for the volunteer as well as the organisation can be significant.
